Hiring Props & Equipment from the Island Savoyards
Purpose of Policy
The aim of this document is to give clear written guidance to potential borrowers who wish to use equipment or props from the Island Savoyards, there is no intention to charge for the loan of property belonging to the Island Savoyards. An inventory is available on request.
Notice Period and Return
The Island Savoyards needs 28 days written notice of a request to borrow any equipment or props. This allows time for committee to consider the request, locate the items and see that they are in a suitable condition to be lent out.
All requests will be considered by the management committee taking into account any potential detriment lending items may present to their productions.
All items must be returned in a timely manner (a maximum of 7 days after the end of the run) unless agreed in advance, in an acceptable condition allowing for fair wear and tear.
Procedure
A request form will need to be completed (appendix 1) and sent to the company Secretary, the request will then be discussed by the management committee.
A member of the committee will then check and see if the requested item(s) is/are available and in a suitable condition to be lent out. The committee member will then contact the borrower and arrange a mutually convenient time for collection.
All items borrowed may be photographed on hire and return - they must be returned in the same condition they were in when hired out (allowing for fair wear and tear) - if they are to be altered or painted etc in any way, it must either be agreed in advance or they must be returned to their original condition before return.
Any fixtures or fittings added to property must be removed, all brakes, staples, screws, and all hardware is to be removed prior to return.
There will be a financial penalty for any items damaged or not returned to their original state (the cost to either replace or to return to their original condition).
At no point will the borrower be afforded unaccompanied access to the Island Savoyards store - only delegated members of Island Savoyards shall have keys to the store. These will not be given to the borrower, even if they are a member of the Island Savoyards.
Items shall be returned in a timely manner in good condition (allowing for fair wear and tear) as arranged with the committee member who will arrange a mutually convenient time.
The Island Savoyards do not accept any responsibility or liability for the safety of any items lent out.
